The company is currently seeking an experienced Proposal Coordinator.


Proposal Coordinator


Position Summary/ Primary Purpose


The Proposal Coordinator, reporting to the Manager of ATec Sales, will be responsible for the content, design, development, and assembly of RFP and RFQ responses. Additionally responsible for the development and assembly of various monthly reports as well as monitoring of procurement/lead websites.

Major Areas of Responsibility


  • Responsible for driving the proposal ( RFP and RFQ) preparation, production,, coordination with various internal/external resources and delivery process from receipt of request for proposal (RFP) to the final delivery
  • Create proposal outline with assignments and schedule identified. Distribute outline to proposal team.
  • Follow-up with individual proposal contributors to obtain proposal contributions on schedule.
  • Proofread and format final proposal. Produce or coordinate production of final proposal. Send or coordinate sending of final proposal to client.
  • Maintain Proposal Directory with a copy of individual proposal elements and digital copy of final proposal delivered to client.
  • Develops, writes, and edits material for technical proposals and reports.
  • Collaborate with the Sales Team on project deliverables and timelines
  • Execute and prioritize project tasks efficiently and accurately
  • Coordination/creation of internal and external presentations
  • Reviews published materials and recommends revisions or changes in scope, format, content, and methods of reproduction and binding.
  • Track and maintain version control of all documentation and workflow changes or modifications and ensure appropriate stakeholders are aware.
  • Identify and assemble appropriate project descriptions to support individual proposal efforts.
  • Work with staff to prepare and routinely update staff resumes. Responsible for formatting of final resume for use in proposals.
  • General office administration support
  • Other duties as required.

Education & Experience

  • Associates degree (Bachelor’s degree preferred) in Communication or technical field, or equivalent work experience.
  • 2 years’ experience in a role such as sales, marketing, training or engineering in an engineered-to-order or material handling systems organization.
  • Understanding of commercial terms, construction experience preferred.
  • Understand our technical products and make recommendations for technical clarifications
  • Exceptional organizational, communication and problem-solving skills
  • 3 + years’ experience in technical writing and/or proposal development.

Demonstrated Physical Abilities

Remain stationary for 50% of the time; move/traverse throughout the office to access file cabinets and office equipment; operate a computer and other productivity machinery; inspect documents; communicate with others through talking/hearing; read/identify/assess forms and correspondence.
